1. Who is responsible for your information

Phnom Penh Taxi & Car Rental is responsible for personal information collected through phnompenhtaxiservice.com and through our direct booking communications. You can contact us using the details at the end of this policy.

2. Information we collect

Depending on how you contact or book with us, we may collect:

• Your name, email address, telephone number, and WhatsApp contact.
• Pickup and drop-off locations, travel date and time, return details, route, and requested vehicle.
• Passenger count, luggage details, flight number, hotel, child-seat needs, accessibility needs, and other journey instructions.
• Messages, quotations, confirmations, invoices, receipts, payment status, complaints, and service feedback.
• Technical information needed to run and secure the website, such as IP address, browser or device information, request logs, and security events collected by our hosting providers.

Please do not send passport copies, bank-card details, health data, or other sensitive information unless we specifically request it for a legitimate journey requirement and explain why it is needed. Our website booking form does not request or store payment-card details.

3. How we use information

We use personal information to:

• Respond to enquiries, prepare quotations, confirm bookings, and send booking details or updates.
• Arrange the correct driver and vehicle and coordinate pickups, routes, luggage, flight timing, and special requests.
• Process deposits and payments, issue invoices or receipts, maintain business records, and prevent fraud or misuse.
• Handle cancellations, complaints, lost property, safety incidents, and customer support.
• Maintain, troubleshoot, secure, and improve our website and services.
• Comply with applicable law, insurance requirements, government requests, accounting duties, and legal claims.

We process information when it is needed to answer your request, prepare or perform a transport agreement, comply with law, protect safety, or support our legitimate business interests. Where consent is required, you may withdraw it for future use by contacting us.

4. When we share information

We share only the information reasonably needed for the purpose. It may be shared with the assigned driver, vehicle owner, transport partner, dispatcher, payment or banking provider, professional adviser, insurer, and technology providers that host the website or deliver communications. We may also disclose information when required by law, a competent authority, or to protect passengers, staff, the public, or our legal rights.

Drivers and transport partners receive journey and contact details needed to provide the service. They must use that information only for the booking and applicable operational or legal requirements. We do not sell or rent customer information for advertising.

5. Website forms, email, telephone, and WhatsApp

When you submit our booking form, the journey details are used to open a WhatsApp conversation and are also sent by email to the address you provide and to our booking team. Email delivery is supported by Resend. WhatsApp communications are processed by WhatsApp and Meta under their own privacy terms. Your telephone, email, mobile provider, and other services you choose may also process communication data under their own policies.

Email and messaging services can process data in countries outside Cambodia. We select services for legitimate business use and take reasonable steps to limit the information sent to what is needed. Please avoid including unnecessary sensitive information in a message.

6. Cookies and website technology

The website and its hosting infrastructure may use strictly necessary cookies, network logs, and similar technology to deliver pages, protect forms, prevent abuse, and maintain security. We do not currently use the booking form to collect payment-card details or sell browsing information for advertising. If we add optional analytics or marketing technology, we will update this policy and provide any choice required by law.

7. Retention and security

We keep booking and communication records only for as long as reasonably necessary to provide service, respond to follow-up questions, maintain accounting and tax records, resolve disputes, prevent fraud, and meet legal or insurance obligations. Retention periods may differ according to the type of record and applicable requirement. Information is then deleted, anonymised, or securely archived when appropriate.

We use reasonable administrative and technical safeguards, limit access to people who need the information, and store sensitive API credentials separately from public website code. No internet, messaging, or storage system can be guaranteed completely secure. Please contact us promptly if you believe your information has been misused.

8. Your choices and rights

Subject to applicable law and necessary identity checks, you may ask us to confirm whether we hold your information, provide a copy, correct inaccurate details, delete information no longer needed, restrict or object to certain uses, or withdraw consent for future processing. Some records may need to be retained for accounting, legal, safety, fraud-prevention, or dispute purposes.

We do not send promotional messages unless you ask for information or otherwise agree. You may ask us to stop optional marketing at any time. Service messages about an active enquiry or booking are not marketing and may still be necessary.

Our booking service is intended for adults. A parent, guardian, or responsible adult should make arrangements involving a child. The website may link to independent services whose privacy practices we do not control. We may update this policy when our website, service providers, business practices, or legal obligations change.
